Shoretel – How to fix the retrieving prompt error

If you are using a Shoretel IP telephony system and you access the Director from a client machine, then you may come across a problem when accessing Auto-Attendants and Workgroups with audio prompts. the problem usually is that it will stick on Retrieving Prompt and then never go any further than that until it times out:

The reason this is an issue is due to the OCX files required for the prompts to be shown not being correctly registered on the client machine.

To this fix is pretty simple though. Just navigate to the HQ server and download these two files:

  • https://HQIPAddress/ShorewareDirector/twentyfour7.ocx
  • https://HQIPAddress/ShorewareDirector/voicemessage.ocx

Where HQIPAddress is the IP address of the clients HQ server.

Once you have the two OCX files, you should then open an elevated Command Prompt and go to the location where you saved the OCX files and run the following commands:

regsvr32.exe twentyfour7.ocx
regsvr32.exe voicemessage.ocx

This will then re-register the two required OCX files. Open your Internet Explorer browser again and now navigate to an Auto-Attendant or Workgroup. You should now see that they open without any further problems.

Shoretel – Create Text to Speech Recordings in Correct Format

If you are using a Shoretel telephony system then you probably are aware of the pain of getting voice recording prompts into the correct format for use with the system. You may also struggle with getting people to record the messages you require unless you go out to a professional recording service.

However, text to voice has come a long way and is pretty good now and you can use these services to create Shoretel voice recording prompts.

Below is a quick guide on how to get your text to speech recordings into the correct format for use with Shoretel.

Instructions

First of all, you should go to a text to speech service. One that we like as its quick and easy to use is “From Text to Speech” and this is what we will use for this guide.

So go to this website and type out the recorded message that you want to convert to speech:

Select the language and voice you want and then click on the “Create Audio File” button. This will then create your speech file into an MP3 format:

Right click on the “Download audio file” and save to your machine. You now have the MP3 audio file but you cannot use this in Shoretel as it is the incorrect format. So you should now install Audacity which is a free to use product.

Once Audacity is installed, start up the program and then click “File” and “Open“. Then browse for your MP3 file and open it up in Audacity. You should now see something similar to this:

You then need to change the “Project Rate (Hz):” at the bottom left corner to 8000.

Then click “File” and select “Export Audio“. This will bring up the standard browse dialog box, here you can set the file name and location, but the important part is to change the “Save as type:” drop down to “Other uncompressed files“. Then for the “Header:” drop down select “WAV (Microsoft)” and for the “Encoding:” drop down select “U-Law“. So you should end up with something like this:

Another dialog box entitled “Edit Metadata” will appear, you can just go ahead and click the “OK” button that.

That will then complete the process and you will have a filename with an “aiff” file extension which you can now import directly into your Shoretel system!

How to Show Shoretel User Licenses Allocations

If you have a Shoretel telephony system in your corporate environment and you want to know which extensions have which licenses, then you can do this by running a simple query across your Shoretel MySQL database.

Login to your HQ server and open MySQL and login to your main Shoretel database. Then run these following queries on it:

Show all users who have Extension Only licenses:

SELECT * FROM USERS WHERE LICENSETYPEID = 2

Show all users who have Extension and Mailbox licenses:

SELECT * FROM USERS WHERE LICENSETYPEID = 1

This should then return the information you are looking for.

Shoretel Communicator Download Client and MSI Installer

To get the Shoretel Communicator download for the client software you can easily retrieve it from your Shoretel HQ server and you then have the ability to use the installer in various different installation methods.

EXE Format

You should go to the following URL in an internet browser on a machine that is connected to the same network as your Shoretel HQ server:

https://HQIPADDRESS/shorewaredirector/clientinstall

You will then be greeted with a page like this:

This will give you the download link and also the version of the client software. Click the link and this will start the download.

Direct Local Download

If you want a direct download link for the EXE installer, you can use this:

https://HQIPADDRESS/ShoreWareResources/ClientInstall/setup.exe

MSI Installer

If you require the MSI installer for deployment, then you can extract this from the setup.exe file you have downloaded from your HQ server.

We have produced a quick walk through video on this process, but below that is a more detailed written set of instructions including screenshots and commands required.

Extraction Instructions

To extract the MSI installer from the EXE installer that you have downloaded from your Shoretel HQ server, just follow these simple steps.

Copy the EXE installer into a folder locally on your machine, for the purposes of this guide, we will be using C:\TGH\ as our base folder:

Now open up a command prompt and navigate to your base folder. Then enter the following command:

setup.exe /a

Hit the Enter key on your keyboard to start the extraction process. This will then go through the Shoretel Communicator Client installation wizard:

Click the Next button and you will then be asked to provide an extraction location. For the purposes of this guide, will we use the following location from our base folder:

C:\TGH\MSI\

The go ahead and click the Install button to start the process. Once the wizard has completed, you will now notice that in the C:\TGH\MSI folder, you have the files required and the MSI installer in the root:

You can then go ahead and use this MSI installer with systems like Configuration Manager, WDS or push out easily through Group Policy.

Reset a ShoreTel phone handset to factory settings

You may run in to a situation where you need to completely factory reset a Shoretel phone handset. This can be due to a handset being unresponsive or not talking to its headquarter server or local MGC, amongst other reasons like selling your handset!

To carry out a full factory reset you should take the following steps:

  • Press the MUTE button and then enter 772667# on the phone keypad
  • You need to then enter the default password of 1234#
  • The handset should now reset itself and display “Factory Test KPD Mode” on the screen
  • Enter 25327# on phone keypad to clear the handset settings
  • The handset will then display “Clearing Phone Data
  • The handset will then restart and display “Factory Test KPD Mode
  • You should then take out the power to the handset for 5-10 seconds, then plug the power back into it to fully power cycle the handset
  • If there is a firmware update to be applied, it will do it now; it not, it should then display “Available” on the handset.
